Email Templates

Campflow sends several emails to parents on your behalf — the message that goes out with admission cards, the message that goes out with account statements, and the messages that go out when a payment fails. You can rewrite any of these in your own words so they sound like your camp.

These live in the Templates section at the bottom of the General settings page. Click Settings in the sidebar, then General, and scroll down.

Each template is a rich text editor with a default message already filled in. Until you change one, parents keep receiving that default wording — so you only need to touch the ones you want to make your own.

  • Admission Cards — The email body sent to parents when you email admission cards from the print and export screen. See Admission Cards for how cards are sent.
  • Statements — The email body sent to parents when you email account statements. See Statements.
  • Failed Payment — The email and text messages sent when a payment fails. These have their own detailed settings — see Failed Payment Notifications.

Every template supports merge tags — placeholders that automatically fill in each family’s own details when the email is sent. Click the merge tag button in the editor toolbar to insert one. Common tags include:

  • {family_name} — The family’s last name
  • {camp_name} — Your camp’s name
  • {season_name} — The current season
  • {balance} — The family’s current balance
  • {payment_link} — A personalized link the family can use to pay

  • The statement email always includes a way to pay. If you don’t add a {payment_link} tag yourself, Campflow automatically adds a “Make a Payment” button to the bottom of the statement email (or a note to contact your office if online payments aren’t turned on). You never have to worry about leaving parents without a way to pay.
  • The admission card email subject line is set for you (“Admission Cards for” your season) and can’t be changed — you’re customizing the body of the message.
  • Templates only change the email message, not the attached PDF. The admission card and statement PDFs themselves are formatted from the print and export screen.
  • Don’t forget to click Save Settings at the bottom of the page after making changes.
