Deleting a Family

You can delete families from the family table — either one at a time or in bulk. Deleting a family removes the family record, their campers, enrollments, and related data. What happens to financial records depends on whether the family has any credit card or bank account (ACH) payments that were processed through Campflow.

Single family: Click the trash icon in the Actions column on the right side of the family row.

Multiple families: Select families using the checkboxes, then choose Delete Families from the bulk actions menu.

In both cases, Campflow asks you to confirm before anything is deleted. The confirmation dialog tells you exactly what will happen — whether the delete is permanent or a soft delete.

Campflow handles deletion differently depending on whether the family has any credit card or bank account (ACH) payments that were processed through Campflow. The confirmation dialog tells you which type of delete will happen before you confirm.

Families with only manual payments (or no payments)

If a family only has manually recorded payments (cash, check, etc.) or no payments at all, the family and all related data are permanently removed:

  • Family record and parent contact information
  • Camper profiles and enrollments
  • Invoices and invoice lines
  • Payments
  • Emergency contacts
  • Documents
  • Custom field values
  • Autopay schedules and saved payment methods
  • Collection history

This action cannot be undone.

If any payment for this family was processed through Campflow (charged to a credit card or bank account), the family is soft-deleted instead. The family no longer appears in your family table, but the financial records — invoices, payments, and transaction history — are preserved in the background for accounting and reconciliation purposes.

Everything else — camper profiles, emergency contacts, documents, Autopay schedules, saved payment methods, and collection history — is removed.

The delete option requires the Delete Family permission. If you do not see the trash icon on family rows or the Delete Families option in the bulk actions menu, ask your camp administrator to grant you this permission in Settings > Users.

  • When deleting multiple families in bulk, each family is deleted individually. If one fails, the others still go through, and Campflow tells you how many succeeded and how many failed.
  • Soft-deleted families do not count toward your family totals or appear in reports.
  • Deleting a family also removes all of that family’s campers from bunk assignments and any other season-specific data.
  • If you are not sure you want to delete a family, consider leaving them unenrolled instead. Families with no campers enrolled appear grayed out in the family table and do not affect your active data.
