Admission Cards

Admission cards are individual entry cards for each camper — designed to be printed and distributed at camp check-in or handed out to parents. Each card shows the camper’s name, grade, and term, with optional fields like profile photo, camp logo, bunk, counselor name, and a QR code. Cards print six to a page (two columns, three rows) and are sized for cutting apart.

The fastest way to print admission cards for everyone:

  1. Go to the Grades page from the sidebar.
  2. Click Print All at the top of the page.
  3. Select Admission Cards as the format.
  4. Choose your options (see Card Options below).
  5. Click Generate.

If you have a department or term filter applied on the Grades page, only the filtered grades are included.

You can also print all admission cards from the Bunks page by clicking the printer icon at the top of the page, or from the Campers page by selecting all campers and clicking Print & Export in the bulk actions bar.

  • On the Grades page, click the Print button on a grade card, then select Admission Cards as the format.
  • On the Bunks page, click the three-dot menu on a bunk column and select Print, then choose Admission Cards.
  1. Go to the Families or Campers page.
  2. Use filters to narrow down the list if needed — for example, by approval status, term, or balance.
  3. Select the records you want using the checkboxes. Use the Select All checkbox in the table header to select everyone in your filtered view.
  4. Click Print & Export in the bulk actions bar.
  5. Select Admission Cards as the format.

On any family’s detail page, click the three-dot menu in the top right and select Admission Cards. This opens the Print & Export panel pre-set to that family’s cards.

When you select Admission Cards as the format, you can configure:

  • Balance Filter — Choose All Campers to include everyone, or Zero Balance Only to only generate cards for families whose balance is paid in full. Useful when you only want to issue cards to families who have paid.
  • Split by Family — Each family’s cards start on a separate page, making them easy to sort and hand out.
  • Start each group on a new page — When printing across all grades or bunks, separates groups onto their own pages.
  • Profile Photo — Show the camper’s photo on the card (if one has been uploaded).
  • Camp Logo — Display your camp logo at the top of each card. This option appears only if a logo has been uploaded in your camp settings.
  • QR Code — Add a scannable QR code to each card, linking to the camper’s detail page (requires login), registration page (public), or payment page (public). The QR code appears in the bottom-right corner of the card.

Instead of printing and distributing cards by hand, you can email each family a PDF of their children’s admission cards.

  1. Open Print & Export with the campers or families you want (see Printing Admission Cards above for the different ways to get there).
  2. Select Admission Cards as the format and configure your options.
  3. Click Email to Parents (next to the Generate button).
  4. If any families have an outstanding balance, you will see a warning showing the count. You can choose to send to all or cancel.
  5. Confirm the send.

Each family receives a personalized email with their children’s admission cards attached as a PDF. Both parents receive the email if both have an email address on file. The email is tracked in the Broadcasts section like any other message.

The email body is customizable per camp. Go to Settings > Templates and expand the Admission Cards section to edit the message parents receive. You can use merge tags to personalize the email — for example, including the family name, camp name, or season dates.

The greeting line (“Hi [Title] [Name] [Last Name]”) is added automatically before your template text.

  • Admission cards print six per page in a two-column, three-row layout on letter-size paper. Use your browser’s print dialog to adjust margins if needed.
  • Cards include the camper’s term and dates automatically (e.g., “Full — Jun 25 – Aug 15”).
  • The sort order and grouping you set in Print & Export apply to admission cards — cards are generated in the sorted sequence.
  • You can save an admission card configuration as a saved report for quick re-use. For example, save a “Zero Balance Admission Cards” report that you run when you are ready to distribute cards to paid families.
  • If a popup blocker prevents the print window from opening, check your browser settings and allow popups from Campflow.
  • When emailing, families without an email address on file are skipped. If no families have an email address, you will see an error message.
