Linked Fields
Linked fields connect your form to the data already in your system. When a family fills out a form with linked fields, their responses automatically update the corresponding family or camper record — no manual data entry needed.
What Linked Fields Are
Section titled “What Linked Fields Are”Regular one-off fields store responses only in the form submission. Linked fields go a step further: they read from and write back to your existing camp data.
For example, if you add a linked “Allergies” field to your health form, the field can show the allergies already on file for each camper. When a parent updates the value and submits, the change is saved both in the form submission and on the camper’s record.
On the canvas, linked fields show a small “Synced” badge so you can tell them apart from regular fields.
Types of Linked Fields
Section titled “Types of Linked Fields”The Existing Fields section in the left panel of the form builder lists everything available for linking, organized into groups:
Family Fields
Section titled “Family Fields”Built-in fields from family records, such as:
- Last Name, Father’s Name, Mother’s Name
- Phone numbers (Home, Father’s, Mother’s)
- Email addresses
- Address fields
- Signature (saves to the family’s invoice for the current season)
Camper Fields
Section titled “Camper Fields”Built-in fields from camper records, such as:
- First Name, Last Name
- Date of Birth, Gender
- Allergies, Notes
- Profile Photo
- Bunk Preferences
Custom Fields
Section titled “Custom Fields”Any custom fields you’ve created for families, campers, or enrollments. These appear grouped by scope (Family, Camper, Enrollment).
Documents
Section titled “Documents”Registration documents you’ve set up for the current season. Depending on the document type:
- Upload documents show a file upload field where families can submit the document
- Template documents show a download button (to get the blank form) and an upload field (to submit the completed version)
- Info-only documents show a “View Document” button so families can read the document
Checkboxes
Section titled “Checkboxes”Registration checkboxes from the current season. These appear as single checkboxes on the form, and the response updates the family’s checkbox status.
Adding a Linked Field
Section titled “Adding a Linked Field”- Open the Fields tab of your form.
- In the left panel under Existing Fields, find the field you want to add. Use the search box to filter the list.
- Click the field to add it to the bottom of the canvas, or drag it to a specific position.
Each linked field can only be added once per form. Fields already on the form appear with a line through them in the palette.
Linked Field Settings
Section titled “Linked Field Settings”When you select a linked field on the canvas, the right panel shows its settings. Some options are unique to linked fields:
- Pre-fill — when turned on, the field automatically shows the value already on file for the family or camper. For example, if a camper’s allergies are already recorded, they’ll appear in the field when the family opens the form. Pre-fill is on by default for linked fields.
- Read-only — when turned on, the field shows the current value but the person filling out the form can’t change it. Useful for displaying information (like a camper’s enrollment status) without allowing edits.
The label for a linked field comes from the original field in your system (for example, the custom field’s label or the document’s name). You can’t rename it directly in the form builder, but you can add help text to provide additional context.
Options for linked dropdown and checkbox fields are also pulled from the original source. If you update the options on the custom field itself (in Settings), the form automatically uses the updated options.
How Data Syncs
Section titled “How Data Syncs”When someone submits a form with linked fields:
- The response values are saved in the form submission (just like one-off fields).
- Each linked field’s value is written back to the corresponding record in your system.
This means:
- A linked “Allergies” field updates the camper’s allergies on their profile
- A linked custom field updates the custom field value on the family or camper
- A linked registration document saves the uploaded file as that family’s document
- A linked registration checkbox updates whether the family has checked that box
- A linked signature saves to the family’s invoice for the form’s season
- A linked profile photo updates the camper’s profile picture
If a linked field has Pre-fill turned on, the data flows both ways: existing data populates the form, and the submitted response updates the record.
If a linked field has Read-only turned on, the value is displayed but not written back — the original record stays unchanged.
Good to Know
Section titled “Good to Know”- If the original field in your system is deleted after you’ve added it to a form, the linked field continues to work on its own — but it won’t sync data anymore. A warning message appears in the field settings to let you know.
- Linked fields are automatically placed in the correct section (Family or Per Camper) based on what they’re connected to. A family-scoped custom field goes to the Family section; a camper-scoped custom field goes to the Per-Camper section.
- When a form is sent via broadcast, families receive personalized links. This is what makes pre-fill possible — the link tells the form which family it’s for, so the correct data can be loaded.
