The Payment Table
The Income page is where you see all the money coming in for the current season. Open it from the Income link in the sidebar.
What You Will See
Section titled “What You Will See”At the top of the page, three summary tiles give you a quick snapshot:
- Income received — Total accepted payments for the season, with the total billed amount below it.
- Spent so far — Total expenses recorded, with the budgeted amount below it.
- Remaining balance — Income minus expenses, with a projected balance below it.
Below the tiles, you will find two tabs:
- Incoming Payments — Every payment recorded for the season (the main payment table).
- Billed — Every charge billed to families for the season (tuition, fees, etc.).
The Incoming Payments Tab
Section titled “The Incoming Payments Tab”This table shows every payment for the current season. Each row includes:
- Family — The family name (with parent names below it). Click to open the family’s page.
- Colony — The family’s colony and unit number, if your camp uses colonies.
- Type — Whether this is a regular payment, refund, chargeback, or return.
- Amount — The payment amount. Color-coded by status: green for accepted, yellow for pending, red for promised or failed. If a processing fee was included, the fee and total charged amount appear next to it. If the amount does not match what Campflow detected from the uploaded image, a warning will appear below it.
- Payment Date — The date the payment was received or recorded.
- Method — How the payment was made (Credit Card, Bank Account, Check, Cash, Zelle, etc.). Shows the last four digits of the card or account when available, plus check numbers and confirmation codes.
- Status — Accepted, Pending, Promised, or Failed.
- Note — Any notes attached to the payment.
- Posted By — The staff member who recorded the payment. This is blank when the payment came in without a staff member — an online payment a parent made, an Autopay charge, or a payment brought in through an import.
- Entered At — When the payment was recorded in the system.
Column Footers
Section titled “Column Footers”The Amount column footer shows a breakdown of totals by status (Accepted, Pending, Promised, Failed) so you can see at a glance how much is confirmed versus outstanding. The Method column footer shows a count and total for each payment method.
Filtering the Table
Section titled “Filtering the Table”Use the filter dropdowns above the table to narrow down what you see:
- Type — Show only payments, refunds, chargebacks, or returns.
- Method — Show only a specific payment method (Credit Card, Check, Zelle, etc.).
- Status — Show only payments with a specific status (Accepted, Pending, Promised, Failed).
- Colony — If your camp uses colonies, filter by colony name.
You can also use the search bar to find payments by family name, parent name, amount, payment method, check number, confirmation code, or the staff member who posted the payment.
Bulk Actions
Section titled “Bulk Actions”Select multiple payments using the checkboxes, then use the action menu:
- Export — Download the selected payments as an Excel spreadsheet.
- Edit — Change the status or payment date for all selected payments at once. This is useful when you need to mark a batch of pending payments as accepted, or update the date on multiple records. You can also choose whether to send receipts (for accepted payments) or failure notifications (for failed payments) during the bulk edit.
The Billed Tab
Section titled “The Billed Tab”The Billed tab shows every charge (invoice line) for the current season. Each row includes:
- Family — The family name and parent names. Click to open the family’s page.
- Camper — The camper the charge is for and their grade.
- Description — What the charge is for (tuition, a fee name, a manual adjustment, etc.).
- Amount — The charge amount. Negative amounts are discounts.
- Fee — The fee this charge belongs to (e.g., “T-Shirt Package,” “Pool & Lifeguard Fee”), or General for tuition and manual charges. Below the fee name, the family’s total invoice amount and total paid are shown.
- Billed At / Updated At — When the charge was created and last modified.
The Fee column footer shows a breakdown of the total billed for each fee, with a count of how many charges exist per fee.
This tab is useful for seeing the full picture of what has been billed — tuition, fees, discounts, and any manual charges. For example, if you added a t-shirt fee and want to see every camper who was charged for it, use the Fee filter (described below) to show only t-shirt charges.
Filtering Billed Charges
Section titled “Filtering Billed Charges”Use the filter dropdowns above the table to narrow down what you see:
- Type — Show only charges (Fee) or only discounts (Discount).
- Fee — Show only charges for specific fees. Select one or more fee names to see only those charges. Select General to see tuition and manual charges that are not tied to a named fee. This is the quickest way to answer “which campers were charged for a specific fee.”
- Grade — Show only charges for campers in specific grades.
- Colony — If your camp uses colonies, filter by colony name.
You can also use the search bar to find charges by family name, camper name, or fee name.
Exporting Billed Charges
Section titled “Exporting Billed Charges”To export billed charges to a spreadsheet:
- Apply filters first if you want to export a subset — for example, filter by a specific fee to export only those charges.
- Select the charges you want to export using the checkboxes on the left. Use the checkbox in the header row to select all charges on the current page.
- Open Bulk Actions and click Export.
- The file downloads as an Excel spreadsheet (.xlsx).
The export includes: family name, parent names, charge description, amount, fee name, camper name, invoice totals, and timestamps.
Exporting Payment Data
Section titled “Exporting Payment Data”To export payment data to a spreadsheet:
- Select the payments you want to export using the checkboxes. Use Select All to grab every payment on the current page, or apply filters first to narrow down the list.
- Click the Export action from the bulk actions menu.
- The file downloads as an Excel spreadsheet (.xlsx).
The export includes comprehensive detail for each transaction: family name, parent names, contact info, address, campers, payment date, payment amount, fee breakdown, payment method, status, check number, external confirmation code, notes, and timestamps. This is the best way to get a report broken down by payment method — for example, to see how much came in via credit card vs. check vs. ACH vs. Zelle.
Good to Know
Section titled “Good to Know”- The payment table only shows payments for the currently selected season. Switch seasons using the season chooser in the top right of the page.
- The table refreshes automatically every 60 seconds to pick up new payments.
- You can choose which columns to show or hide by clicking the column selector.
- You can adjust how many rows appear per page — options go up to 2,000 for large camps.
- Filters are remembered, so they persist when you navigate away and come back.
