Document Exports

Document exports let you download uploaded documents, financial statements, and registration forms for a group of families in one batch. Instead of opening each family individually, you can pull everything together, organized the way you need it.

When you choose Documents as the format in Print & Export, you can include three types of content:

These are files that parents uploaded during registration — medical forms, ID copies, insurance cards, and any other document types you’ve set up. Check Documents to include them, and then select which document types to include from the checklist that appears. You can pick specific types or include all of them.

An “Other documents” option is also available — this captures any files uploaded to a family that aren’t tied to a specific document type.

Check Statements to include a financial statement for each family. The statement shows their charges, payments, and current balance for the season.

Check Registration forms to include a copy of each family’s completed registration form. You can choose between two versions:

  • Internal (with staff notes) — The full registration form including any internal notes or fields that staff have added
  • Parent-facing (as submitted) — The registration form exactly as the parent saw and submitted it

Under Format, pick how you want to receive the files:

  • ZIP file — All documents are packaged into a single ZIP archive. Each document is a separate file inside. Best when you need individual files to print, share, or organize.
  • Single PDF — All documents are merged into one continuous PDF. Best when you want to print everything at once or send a single file.

The Group by option controls how files are organized within the export:

  • None — All files are in a flat list with no grouping
  • Family — Files are organized into a folder per family (ZIP) or separated by family headings (PDF)
  • Document type — Files are grouped by the type of document (e.g., all medical forms together, then all ID copies together)
  • Grade — Files are grouped by the camper’s grade
  • Bunk — Files are grouped by the camper’s bunk

When you group by Grade or Bunk, an additional Then by option appears:

  • Family — Within each grade/bunk group, files are further organized by family
  • Document type — Within each grade/bunk group, files are further organized by document type
  1. Open Print & Export from the Campers, Grades, Bunks, or Families page.
  2. Choose Documents as the format.
  3. Check which content to include — Documents, Statements, and/or Registration forms.
  4. If you checked Documents, select which document types to include from the checklist.
  5. Choose your output format (ZIP or Single PDF).
  6. Set the grouping option if you want files organized.
  7. Click Generate.

Because document exports can be large, they run in the background. You’ll see a confirmation message and receive an email with the download link when the export is ready.

  • You must select at least one type of content (documents, statements, or registration forms). If nothing is selected, you’ll see a reminder.
  • The export respects whatever data source you started from. If you opened Print & Export from a single grade, only that grade’s families are included. If you opened it from the Families page with filters applied, only the filtered families are included.
  • Document exports can take several minutes for large batches. The email will arrive when everything is packaged and ready.
  • If no families have uploaded documents matching your selection, the export will let you know by email rather than producing an empty file.
  • You can save a document export configuration as a report just like any other format. When you run it later, you’ll see a confirmation prompt before the export starts.
