Payment Plans

Payment plans are templates that define how a family can split their balance into installments. You create plan options for each season, and parents choose one during registration or from their payment page. Once a parent selects a plan, Campflow sets up an Autopay schedule to collect the installments automatically.

Payment plan options are configured in your registration and application settings:

  1. Go to the Settings page from the sidebar.
  2. Open the Registration & Application settings.
  3. Scroll down to the Payment Plans section.
  4. Click Add Plan to create a new one, or use one of the quick templates.

Each plan option has:

  • Name — What parents will see (for example, “3 Equal Payments” or “Monthly Installments”).
  • Description — Optional details to help parents understand the plan.
  • Installments — The individual payments that make up the plan. Each installment has a due date and an amount.

For each installment, you define:

When it is due:

  • At enrollment — Charged immediately when the parent selects this plan. This is typically a deposit or first payment.
  • Fixed date — Due on a specific calendar date (for example, June 1st, 2026).
  • Days before camp start — Due a certain number of days before the season starts (for example, 30 days before camp).

How much:

  • Percentage — A percentage of the total balance (for example, 25%). When all installments are percentage-based, they must add up to 100%.
  • Fixed amount — A specific dollar amount (for example, $500). You can mix percentage and fixed-amount installments in the same plan — fixed amounts are deducted first, and percentages apply to the remaining balance.

The last installment in a percentage-based plan automatically gets the remainder to avoid rounding issues. For example, if you have three installments of 33.33%, the last one will be 33.34% to ensure the total is exactly 100%.

To save time, you can start from a pre-built template:

  • 2 Equal Payments — 50% at enrollment, 50% on a date between now and camp start.
  • 3 Equal Payments — Three equal installments spread between enrollment and camp start.
  • 4 Equal Payments — Four equal installments spread between enrollment and camp start.
  • Monthly Payments — Equal monthly installments from enrollment through camp start.

Templates are starting points — you can customize the dates and amounts after applying one.

Each plan option has toggles for where it appears:

  • Show on registration — Parents see this plan during the registration form.
  • Show on application — Parents see this plan during the application form.
  • Show on payment page — Parents see this plan on their payment link page.

You can also set one plan as the default — it will be pre-selected for parents.

When a parent registers or visits their payment page, they see the available payment plans with the calculated dollar amounts based on their family’s balance. They select a plan, make their first payment (if the plan has an “at enrollment” installment), and save a card or bank account for future installments.

If a parent registers after some installment dates have already passed, those amounts are automatically rolled into the first payment so nothing falls through the cracks.

  • Reorder — Drag and drop plans to change the order parents see them.
  • Activate / Deactivate — Toggle plans on or off. At least one plan must remain active.
  • Set as default — Make a plan the pre-selected option for parents.
  • Edit — Change the name, description, installments, or visibility settings.
  • Delete — Remove a plan. If families are already enrolled in the plan, their existing Autopay schedules are not affected — the plan is just removed from future selections.
  • Payment plans are specific to each season. When you set up a new season, you will need to create new plan options (or copy them from a previous season).
  • Once a parent selects a plan, it creates an Autopay schedule on their family’s account. You can view and manage this schedule from the family’s detail page under the Autopay section.
  • If a parent makes additional payments outside the plan (for example, paying extra), the remaining plan amounts adjust automatically based on the updated balance.
  • The plan is recorded on the family’s invoice so you can always see which plan they chose.
