Editing a Family

The family detail page is where you view and edit everything about a family — their contact info, addresses, camper enrollments, emergency contacts, and financial records. You’ll open this page frequently to update information, check balances, or review a family’s status.

  1. Go to the Families page from the sidebar.
  2. Click on any family row in the table.

The family detail page opens with the family name at the top, a summary bar showing the parents’ names, phone number, address, and balance, and a set of tabs below.

At the top of the page, you’ll see the family name with arrows on either side. Click the left or right arrow to move to the previous or next family in your list. The order matches whatever sort and filter you were using on the family table — so if you filtered for families with a balance, the arrows will step through only those families.

The family detail page is organized into tabs:

This is where you manage the family’s core data:

  • Family last name — The shared family name.
  • Home phone, secondary phone, country phone — Shared family phone numbers.
  • Marital status — Married, divorced, widowed, or separated.
  • Primary contact — Controls which parent receives receipts and automated emails (father, mother, both, or other).
  • Colony and unit number — If your camp uses colonies.
  • Father’s details — Title, first name, last name, phone, email, and occupation.
  • Mother’s details — Title, first name, last name, maiden name, phone, email, and occupation.
  • Address — Street address, city, state, and zip.
  • Secondary address — An optional second address (with type label like Summer, Winter, etc.).
  • Notes — Free-text notes visible only to your staff.
  • Custom fields — Any additional fields your camp has configured.

If the family registered through your registration form, you’ll also see their registration disclosures (checkboxes the parent agreed to) and their signature at the bottom of this tab.

The family’s emergency contacts. Each contact has a name, relationship, phone number, optional second phone, email, and address. The form starts with two empty slots, and you can add more as needed.

This tab shows the family’s invoices, charges, payments, and balance for the current season. It includes:

  • A detailed breakdown of tuition charges and fees for each camper.
  • The ability to add, edit, or remove individual charge lines.
  • A list of all payments with their status (accepted, pending, promised).
  • The ability to record new payments.
  • Payment methods saved on file for the family.
  • Autopay schedules, if any.

In the top-right corner, click Actions to access additional options:

  • Copy registration link — Copies this family’s personalized registration link to your clipboard. You can share this with the parents so they can update their information.
  • Copy payment link — Copies a link where this family can make a payment online.
  • Download statement — Downloads a PDF statement of the family’s account.
  • Email statement to parents — Sends the statement directly to the parents by email.
  • Download admission cards — Downloads admission cards for the family’s campers.
  • Email admission cards to parents — Sends admission cards by email.
  • Download registration PDF — Downloads a PDF of the family’s registration form.

When you make changes on any tab, click Save at the bottom. If you switch between tabs without saving, Campflow will automatically save your changes for you so nothing gets lost.

  • Changing a camper’s grade, term, or the family’s colony may affect tuition charges. Campflow will ask if you want to recalculate the charges when you make these changes.
  • The returning/new badge at the top of the page tells you whether this family had campers enrolled in any previous season.
  • Phone numbers and email addresses are used for broadcasts — father’s and mother’s phone numbers receive SMS messages, and email addresses receive email broadcasts and payment receipts.
  • Notes are saved on the Family Information tab. If you’re looking at a different tab (like Financial or Camper Information) and can’t find a note you added, switch back to Family Information — that’s where notes live.
