Opening Your Next Season

Opening registration for next year is mostly a review of what you already have — your new season is created with everything carried over from the previous one. This checklist walks through the steps in order, and the pitfalls to avoid along the way.

We create your next season for you and copy over your departments, grades, bunks, pricing, payment plans, and saved reports. If you’re ready to open registration and don’t see the new season in the season picker at the top of the sidebar, message us in the chat and we’ll create it right away.

Do not change your current season’s dates to next year — that moves your existing season instead of creating a new one, and your current registrations, links, and prices come along with it. Campflow will warn you if you try.

Click the season picker at the top of the sidebar and select the new season. Everything you edit applies to the season you have selected — documents, forms, pricing, and registration settings all belong to a specific season. If something you added isn’t showing up on the registration form, check which season was selected when you added it.

With the new season selected, go through Settings and confirm:

  • Season dates — start, first half end, second half start, and end for the new year.
  • Pricing — default season pricing and any bunk-level overrides. See Pricing & Fees.
  • Fees — extra charges like t-shirts or trips.
  • Documents and disclosures — on the Registration & Application Settings page, confirm your documents and checkboxes are attached to the new season.
  • Payment plans — installment dates moved forward a year; confirm they match your billing schedule.

On Settings > Registration, set when registration opens and closes for the new season. Each season has its own registration link — copy the new season’s link from the Form Windows & Links section.

If your previous season’s registration window is still open, its links still work and accept registrations at the old season’s prices. Campflow shows a banner on the Registration Settings page when this is the case, with a one-click button to close the old season.

  • Returning families: go to the Families page and click Send Registration Email. Each family receives their own personalized link with their information pre-filled from last season. See Sharing Your Registration Link.
  • New families: share the general registration link (from Settings > Registration) on your website, WhatsApp, or anywhere else.
  • Financial balances and credits do not copy to the new season — each season keeps its own invoice, though the family’s total balance always includes every season. See The Family Ledger for how to move a credit into the new season.
  • Grades do not carry over automatically. When a returning family registers, they pick each camper’s grade fresh for the new season.
  • Registration documents, forms, and custom prices belong to a season. If parents report something missing from the form, check that it was added while the new season was selected.
  • Test the form with the Preview form link on the Registration Settings page — the preview works even before your registration window opens.
