Sharing Your Registration Link

Once your registration form is set up, you need to share the link with parents. Campflow gives you several ways to do this — from a simple copy-paste link to a built-in email sender that can reach all your current families at once.

The quickest way to share your form is to copy the link and send it yourself.

  1. Go to Settings in the sidebar, then click Registration.
  2. In the Form Windows & Links section, find the Registration card.
  3. Click the copy button next to the link.
  4. Paste the link anywhere — in an email, WhatsApp message, text, or on your website.

Every season has a unique registration link. Make sure you’re copying the link for the correct season by checking the season selector at the top of the page.

This link is best for brand-new families. To invite last year’s families with their information pre-filled, use the built-in email sender described below.

Campflow has a built-in email sender specifically for registration links. It’s a quick way to send your registration link to a list of email addresses or to all current families at once.

  1. Go to the Families page in the sidebar.
  2. Click the Send Registration Email button at the top of the page.
  3. A panel will open where you can:
    • Enter email addresses — type or paste email addresses (separated by commas or spaces) for people who are not on a family yet. If a pasted address does belong to a family on file, that family receives their personalized link automatically.
    • Send to current mothers — check this box to automatically include all mothers’ email addresses from your existing families
    • Send to current fathers — check this box to include all fathers’ email addresses
  4. Customize the Subject and Body of the email (default text is provided if you leave them blank).
  5. Optionally, turn on Attach PDF to include a printable version of the registration form as an attachment. You can click Download Sample PDF to preview what it looks like.
  6. Click Send Emails.

Campflow will show a confirmation dialog with the number of recipients before sending. If you have families on file but haven’t checked the mothers or fathers box, the dialog reminds you that they won’t be included. After you confirm, the emails are queued and sent in the background. You’ll receive a report by email when they’re all delivered.

When you use the built-in email sender with the “Send to current mothers” or “Send to current fathers” option, each family receives a personalized registration link. This link pre-fills their information from the previous season, so they don’t have to re-enter everything from scratch.

To send a personalized link to a specific returning family, go to the Families page, find the family, open their profile, and click Send Registration Link from the Actions menu. This sends them a link that pre-fills their information from last season.

Avoid sending the generic registration link to returning families. The generic link opens a blank form, and a blank form always creates a brand-new family record — so a returning family filling it out ends up duplicated, with their campers and history split across two records. Returning families should always get their personalized link.

Personalized links also pre-fill any campers already on file for the season, each in their own card. Once a family has applied or registered, their link lets them review and update their information, but it does not let them add another camper. To register an additional child for a family that has already submitted, add the child from the family’s Camper Information tab — typing the new child’s information over an existing camper’s card updates that camper’s record instead of adding a new one. For more control over the email design and recipient filtering, you can send registration links through Broadcasts. Broadcasts let you filter recipients by approval status, add custom content with merge tags, and track delivery.

You can add the registration link to your camp’s website. Just copy the link from the settings page and create a link or button on your site. Parents who click it will go directly to your registration form.

  • Registration links only work during the registration window you’ve set. Outside of those dates, parents will see a “registration is closed” message.
  • You can use the Preview form link in the settings to test the form at any time — the preview bypasses date restrictions.
  • If you have Applications enabled, there’s a separate link for the application form. Make sure you’re sharing the right one.
