Managing Users
The Users page is where you manage the people on your team who have access to Campflow. You can add new team members, edit their details, reset passwords, set permissions, and remove users who no longer need access.
To get here, click Settings in the sidebar, then click Users.
The Users Table
Section titled “The Users Table”The Users page shows a table of everyone with access to your camp’s Campflow account. Each row shows the user’s name, email, phone number, and when their account was created.
- Users with administrator access have a crown icon next to their name.
- Your own row is labeled with a “You” badge so you can quickly identify it.
Each row has three action buttons on the right:
- Edit (pencil icon) — Open the user’s profile to change their details or permissions
- Reset Password (key icon) — Send a password reset link to the user’s email
- Delete (trash icon) — Remove the user from your camp’s account
How to Add a User
Section titled “How to Add a User”- Click Add User in the top right corner of the page.
- A window will appear with three steps. On the first step, enter the user’s Full Name, Email Address, and optionally their Phone Number.
- Click Next to go to the Security step.
- Choose how to handle the user’s password:
- Create now — Set a password yourself and share it with the user
- Send email — Send the user a password reset link so they can set their own password
- Skip — A temporary password is generated automatically; the user will need to reset it later
- Click Next to go to the Permissions step.
- Choose which permissions this user should have. You can check Allow All Abilities to give them full administrator access, or pick individual permissions from the list. See Roles & Permissions for details on what each permission controls.
- Click Add User to create the account.
How to Edit a User
Section titled “How to Edit a User”- Find the user in the table and click the pencil icon on their row.
- The same three-step window appears, pre-filled with the user’s current information.
- Make your changes across any of the steps — Basic Info, Security, or Permissions.
- Click Save Changes when you’re done.
How to Reset a User’s Password
Section titled “How to Reset a User’s Password”- Find the user in the table and click the key icon on their row.
- A confirmation window will ask if you want to send a password reset link.
- Click Send. The user will receive an email with a link to set a new password.
You can also reset a password from within the Edit User window by choosing Send email on the Security step.
How to Delete a User
Section titled “How to Delete a User”- Find the user in the table and click the trash icon on their row.
- A confirmation window will ask if you’re sure. Click Delete to confirm.
The user will immediately lose access to Campflow.
Good to Know
Section titled “Good to Know”- You cannot delete yourself. If you need to remove your own account, ask another administrator to do it.
- You cannot delete the last user on the account — there must always be at least one user.
- Only users with the Add User permission can add new team members. The Edit User permission is needed to change user details, and Delete User is needed to remove users.
- Changing a user’s permissions requires the Change User Permissions permission. If you don’t have it, the Permissions step won’t appear when editing a user.
- Adding multiple users may require a plan that supports it. If the Add User button doesn’t appear, your current plan may only allow a single user. See Your Subscription for details on upgrading.
