Printing & Exporting
The Print & Export panel is how you get data out of Campflow in a printable or downloadable format. It supports contact lists, address labels, admission cards, and Excel spreadsheets. This page covers how to access the panel, the specifics of each output format, and how to get the best results. Getting There
Section titled “Getting There”You can open the Print & Export panel from several places. Where you open it determines which data is included.
From the Campers or Families Page
Section titled “From the Campers or Families Page”
- Go to the Campers or Families page from the sidebar.
- Optionally, apply any filters you need first — for example, filter by a specific grade, term, approval status, or balance. Only the filtered results will be included when you print or export.
- Select the campers or families you want using the checkboxes on the left side of the table. To select everyone in your current (filtered) view, click the Select All checkbox in the table header.
- Once you have records selected, a bulk actions bar appears. Click Print & Export.
From the Grades Page
Section titled “From the Grades Page”
Each grade card on the Grades page has a Print button that opens Print & Export for that grade. To print all grades at once, click the Print All button at the top of the page. If you have filters applied (such as a specific department or term), the printout includes only the filtered grades.
From the Bunks Page
Section titled “From the Bunks Page”
On the Bunks page, click the three-dot menu on any bunk column and select Print to open Print & Export for that bunk. To print all bunks at once, click the printer icon in the top-right corner of the page next to the Add Bunk button.
Contact Lists
Section titled “Contact Lists”Contact lists are the most versatile format. They produce a printable table with the fields you select, grouped by grade or bunk if you’re printing from one of those pages.
What You Get
Section titled “What You Get”A printable page opens in a new browser window with:
- A header showing the camp name, season, and report title
- Column headers for each field you selected
- One row per camper (or per family, for family reports)
- A footer with the generation date and page count
If you’re printing from All Grades or All Bunks, each group gets its own header with the group name, camper count, and counselor names. When printing from the Campers or Families page, you can use the Group By dropdown to split the output by any field — Grade, Bunk, City, custom fields, and more. See Grouping for details. By default, each group starts on a new page — uncheck Start each group on a new page in the settings to print everything continuously.
Orientation
Section titled “Orientation”By default, contact lists print in Portrait (tall) orientation. If you’ve selected many fields and the table is too wide, the content will shrink to fit. For wide reports with many columns, you may get better results by selecting Landscape orientation in your browser’s print settings dialog.
Attendance Columns
Section titled “Attendance Columns”For camper contact lists, you can add attendance columns — blank checkboxes for marking off attendance by hand.
- Single Day adds one attendance column
- Weekly adds a column for each day you select (Sunday through Saturday), with headers in your chosen format (English short/medium/long, Hebrew, or Yiddish)
QR Codes
Section titled “QR Codes”A QR code is a small square barcode that anyone can scan with a phone camera to open a link. You can add a QR code column to contact lists — each camper gets a unique code that links to one of three destinations:
- Camper Detail Page — Opens the family profile in Campflow (requires login)
- Registration Page — Opens the public registration page for the family
- Payment Page — Opens the public payment page for the family
QR codes appear as a column in the table, one per row. Select None to omit them.
Printing Tips
Section titled “Printing Tips”- When the print dialog appears, check the Headers and Footers setting — most browsers add their own header/footer by default, which can overlap with the report’s built-in footer. You may want to turn those off.
- Set Margins to “Minimum” or “None” if the content looks cramped.
- If you selected many fields, consider printing in landscape for better readability.
Address Labels
Section titled “Address Labels”Address labels format your data onto standard label sheets that you feed through a regular printer. Each label contains the fields you selected — typically name, address, and phone — arranged to fit within the label dimensions.
How to Print Labels
Section titled “How to Print Labels”- Open Print & Export and choose Address Labels.
- Under Label Settings, select a Label Template that matches the label sheets you have (e.g., Avery 5160 for 30-per-page standard labels, Avery 5163 for 10-per-page large labels).
- Choose the fields you want on each label.
- Set Copies per Label if you need multiples (for example, 2 copies when sending to both parents).
- Optionally, check Camp Logo to print your camp logo at the top of each label. This option appears only if a logo has been uploaded in your camp settings.
- Optionally, add a QR Code — each label gets a scannable code linking to the camper’s detail page, registration page, or payment page.
- Click Generate.
Label Copies
Section titled “Label Copies”When printing more than one copy per label, the Group all copies together option controls the order:
- Unchecked (default) — Each label prints all its copies before moving to the next person. Good when you want to peel off a stack for the same person.
- Checked — All labels print once, then the entire set repeats. Good when you’re doing multiple identical mailings.
Page Breaks
Section titled “Page Breaks”When printing labels for all grades or bunks, the Start each grade/bunk on a new page option controls whether each group starts on a fresh sheet of labels. Unchecking this prints labels continuously, which saves label sheets.
Admission Cards
Section titled “Admission Cards”Admission cards produce individual entry cards for each camper — designed to be printed and distributed at camp check-in or handed out to parents. You can also email them directly to families as PDF attachments. See Admission Cards for the full guide, including all card options and emailing.
Excel Export
Section titled “Excel Export”Excel export downloads a spreadsheet file (.xlsx) that you can open in Microsoft Excel, Google Sheets, Numbers, or any spreadsheet application. This is the best option when you need to work with the data outside of Campflow — sort it, filter it, share it, or import it into another system.
You don’t have to export every field. For example, to export a mailing list with just names and addresses, open the Print & Export panel, choose Excel as the format, then check only the fields you need — like Family Name, Address, City, State, and ZIP. This gives you a clean spreadsheet ready for mail merge or label printing without extra columns to delete.
What’s Included
Section titled “What’s Included”The spreadsheet includes one row per camper (or per family for family reports) with a column for each field you selected. The first row contains column headers. The file is named with a timestamp so you can tell exports apart (e.g., “campflow_campers_2026-05-27_14-30-00.xlsx”).
If you’re generating from a saved report, the report name is included in the filename.
Fields Available for Excel
Section titled “Fields Available for Excel”Excel export supports all the same fields as contact lists, including:
- Custom fields you’ve configured for families, campers, or enrollments
- Optional fees showing which campers are signed up for each
- Financial data (total charges, total payments, balance, pending payments, upcoming autopay, and balance after expected payments)
- Links (registration link, payment link, family page link)
Good to Know
Section titled “Good to Know”- If you see a “No Data” message when generating, it means no records matched your current filters or selection. Try adjusting your filters or selecting different records.
- A popup blocker may prevent the print window from opening. If nothing happens when you click Generate, check your browser’s popup blocker and allow popups from Campflow.
- Excel files download directly — they don’t open in a new window.
- All print formats respect the sort order and grouping you set. Contact lists show the sorted rows in order, labels are printed in sorted order, and admission cards follow the sort sequence.
- Both the sort order and group-by dropdowns are searchable — type to quickly find the field you need, including custom fields.
