Family Documents
Family documents are files that parents upload during registration — things like medical forms, immunization records, or signed waivers. Campflow stores these documents on the family record so you can access them anytime.
Where Documents Come From
Section titled “Where Documents Come From”Documents are uploaded by parents during the registration process. When you set up registration, you can require families to upload specific documents (see Documents & Disclosures). Each required document has a name and description that tells parents what to upload.
Parents can also upload documents for individual campers — for example, a medical clearance letter for a specific camper.
Viewing Documents on the Family Table
Section titled “Viewing Documents on the Family Table”On the Families page, the Documents column shows how many documents each family has uploaded. Hover over the document count to see a list of document names in a tooltip.
You can filter the family table by documents using the Documents filter:
- Has documents — Show only families that have uploaded at least one document.
- No documents — Show only families with no documents uploaded.
Viewing and Downloading Documents
Section titled “Viewing and Downloading Documents”- Go to the Families page and click on a family to open their detail page.
- The documents are accessible from the family’s record. Each document shows:
- The document name (as defined in your registration setup).
- The original filename the parent uploaded.
- The camper the document is associated with (if it’s a camper-specific document).
- Click on a document to download or view it.
Good to Know
Section titled “Good to Know”- Documents are tied to a season. When you switch seasons, you’ll see documents uploaded for that season’s registration.
- The document count on the family table includes all documents for the current season.
- Documents cannot be uploaded by staff through Campflow — they come from parents during the registration process. If you need to add a document manually, you can ask the parent to update their registration using the family’s personalized registration link (found in the Actions menu on the family detail page).
